PROJECT COORDINATOR

Overview

A Project Coordinator is highly organized, detail oriented and can think critically. The Project Coordinator will support the in-field Project Managers with project administration, including tracking project budgets, requests for information, change orders, submittals, subcontracts, etc. The Project Coordinator will also assist the Bidding Team during the bidding and sales phases of projects, and support the mobilization phase once a project is awarded.

The Project Coordinator role is based at our head office in the Dogpatch neighborhood of San Francisco and requires local travel for onsite project meetings.

The Project Coordinator will report to the Project Manager and work closely with the project team and Bidding Team to play an active role across the team by tracking all details and providing daily administrative support to keep projects and bids on schedule and within budget while maintaining organized project files.

General duties 

  • Uses Cookline systems (Procore, Asana, Smartsheet, Google Suite, Microsoft Office Suite) to keep project information organized and up to date, including uploading budgets, drafting commitments, change orders, RFIs, and submittals

  • Ensures all project files (drawings, documents, submittals, etc.) are properly filed across all Cookline platforms in a timely manner

  • Builds and populates key project tools such as the project scorecard, PCCO log, and submittal log using company templates

  • Assists with subcontractor outreach, job walk coordination, tracking bid responses, and organizing bid documentation during the estimating phase

  • Coordinates early mobilization tasks, including issuing and tracking initial subcontracts, assembling spec books and other relevant details

  • Drafts submittal log per lead times in collaboration with the project team

  • Tracks and updates project budget and schedule; communicates updates during team meetings and in internal logs

  • Prepares for internal team meetings by updating project to-dos and next steps, documenting and tracking project discussion points from daily logs and/or team huddles.

  • Prepares OAC agendas and meeting minutes, follows up on action items, and ensures logs and project to-dos are current

  • Review, draft and/or approve payment applications, billing and DocuSign

  • Manages all project change orders (Subcontractor and Owner) by tracking all incoming change order requests, field generated change orders, updating change order logs

  • Coordinates procurement and orders project materials as directed by the field or project team

  • Gathers final documentation and produces the closeout package at project turnover

Requirements

  • A minimum of 1-3 years of experience in project or account management, preferably in the construction industry

  • Experience using project management software (construction-related software preferred)

  • Excellent interpersonal communication and organizational skills

  • Bachelor’s degree in relevant field preferred

  • Desirable: love of food and eating at great restaurants, Spanish language
